About the role

We are on the lookout for an experienced Executive Assistant to support the Group CFO & Company Secretary in the Sydney CBD. This role is a full-time permanent position. You’ll need to be super-organised, have superior administrative/secretarial skills and like to work in a fast-paced environment with multiple priorities. Most important of all is that you’re a nice person who plays well with others.

Objectives
  • Mailbox and diary management for the CFO, EGM (internal and external).
  • PICA Group Board process, minutes, and documentation.
  • PICA Audit, Risk, Remuneration Committee (PARRC) process, minutes, and documentation
  • Board and executive support.
  • Company secretarial matters (i.e. ASIC registrations and filings, regulatory filings, office of Fair-Trading matters, and the company secretarial mailbox.
  • Executive month end reporting process to the Board.
  • Support into the Enterprise Services team (i.e. project minutes).
  • Acquisition support.
  • Preparation of confidential and official documents, meeting papers and reports.
  • Managing multiple projects on behalf of the CFO.
  • General management of CFO office.
  • Support and assist with governance and documentation specific to direct reports and CFO group team members.
About you
  • Ideally you will have a minimum of 5 years’ experience in a similar Executive Assistant role supporting to a C-suite level.
  • Superior MS Office skills – advanced Word and PowerPoint and intermediate Excel.
  • Professional verbal and written communication skills (good grammar, punctuation and business writing skills).
  • The ability to prioritise workload and meet deadlines.
  • Exceptional attention to detail.
  • Maturity, confidentiality and integrity when handling sensitive information.
  • A positive, can-do attitude and friendly manner.
  • Company secretarial experience is highly desired.
